Guide for RIAs

The inbox should not grow with the book.

Every new household multiplies the same questions. Should I pay the debt or invest. Am I on track. What happened to my credit. If the app cannot answer, you become the app. Athena sends firm-branded messages that get people onto the platform, then keep giving advice. The record lives on the household in Mission Control.

The usual book

More clients become more email, then more people.

A portal can hold a statement. It cannot tell someone whether to capture the employer match, refinance a card, or wait on Social Security. Those questions land in your inbox. You answer them one by one. The calendar fills with recaps. Hiring looks like the only way to take the next household.

That is an operating problem, not a writing problem. A better newsletter will not fix it.

The wrong model

An email tool optimizes lists, and it does not know the household.

Marketing email tools are built for campaigns, segments, and open rates. They do not know that this household is missing the match, carrying expensive debt, or two years from a claiming decision. A blast can look busy and still send the wrong note, or the same note to everyone.

Campaigns are not advice

The calendar decides what goes out. Household state does not. People learn to ignore it.

The thread is one you cannot find

The send lives in Gmail or the email tool. The plan lives somewhere else. The advisor hunts.

You are still the backstop

When the message is generic, the real questions come back as email. Volume returns to you.

The Athena path

Talk to people who are not users yet, then keep advising after they are.

Lead messages are welcome, follow-up, reminder, and monthly notes in the firm brand. They get someone onto the wellness app without anyone writing the series by hand each week. That is the same job as from ad to wealth client: give them something useful, then keep the relationship.

Once they are on the platform, the series changes. Messages follow contribution, credit, debt, health, retirement, and cash. They point back into the app, where the next step already lives. See the product surface on Communication.

Four channels

The household can get the answer without opening a ticket.

The message lives in the app

Notifications land where they already check net worth, debt, and next steps. Routine nudges do not need an advisor tap.

Email goes out in the firm brand

Outbound mail runs from household state: onboarding, missing match, credit, debt, retirement, cash. You set the policy. You do not write each note.

Athena AI answers in the app

They ask a money question in the firm’s voice and get a methodology-backed answer, with a path to a person when judgment is required.

Email still arrives when you are away

When someone emails the firm, Athena matches the household, drafts from their data, and prepares a reply. Approve-to-send or auto-send is a firm choice.

Mission Control

Every channel sits on the household, not in a side inbox.

Mission Control is the household CRM. App notifications, email, the Athena AI inbox, and in-app chat live next to the plan and the trades. You supervise volume. You do not hunt threads across Gmail and another system.

Athena does not replace the custodian, or the books and records. It does replace the habit of treating communication as a separate product. See Mission Control.

What good looks like

Time goes to judgment, not recaps

Routine money questions resolve in the app. Emails create an action, not unsubscribe fatigue. The advisor calendar holds exceptions, planning calls, and growth conversations.

What this is not

A portal thread and a marketing list are not the same job.

Suite portal messaging stays in the portal

Secure threads and document alerts. Useful. They do not watch debt, credit, cash, and retirement and write the next step.

A marketing email tool runs a list

Lists, campaigns, and open rates. Fine for a blast. Blind to household state, and blind to what happens after the click.

Athena communication sits on the household

Advice-triggered messages in the firm brand, on the same household record as the app and the plan. The product page is Communication.

Questions this usually raises.

Will clients get too many messages?

Volume follows household state and firm policy. The goal is fewer low-value pings and more notes that point to a next step in the app.

Is this a marketing email tool?

No. A marketing tool runs lists. Athena runs communication from the same household that holds the plan, the app, and the trades. You may still send a firm blast. That is not the capacity lever.

Can we keep the email tool we have?

Some firms still use one for a newsletter. Advice-triggered mail, app notifications, and the reply inbox belong on the household in Mission Control. Fit is a demo conversation. See Integrations.

Who is accountable for what goes out?

The firm is. Messages use the firm brand and the same methodology as client AI. Approve-to-send versus auto-send is a policy choice. Athena’s job is to make the supervised path the easy path.
